Technical data. Like most websites, our hosting server keeps standard access logs (IP address, browser type, the page requested and the time) for security and troubleshooting.
How we use it
- To reply to your enquiry and prepare quotes and proforma invoices (PIs)
- To follow up on a quote you asked for
- To process, pack and ship your order, send photos before shipping and handle warranty claims
- To keep business, tax and customs records
- To keep the website and our mailbox secure and free of spam
We do not sell or rent your data, and we do not add you to a newsletter. If we ever start one, we will only send it to people who ask for it.
Legal basis (UK and EEA visitors)
We use your data to take the steps you ask for before a contract (your quote request) and to perform the contract (your order); for our legitimate interest in running and protecting our business, such as following up on a quote and keeping the site secure; and to meet legal obligations such as tax and customs record-keeping.
Who handles it for us
We use a small number of service providers. They process your data only to provide their service to us.
| Provider | What it does for us |
|---|---|
| Hostinger | Hosts this website and our sales@topgolfcartparts.com mailbox, and sends the website’s emails |
| n8n | Workflow automation: reads new enquiries in our mailbox, sends you a confirmation email and logs the request |
| Google (Google Sheets, Gmail) | Our enquiry log and internal notifications about new enquiries |
| Shipping companies and freight forwarders | Delivery details for your order |
| WhatsApp and WeChat | Only if you choose to contact us there; their own privacy policies apply |
We may also share data where the law requires it, for example with customs or tax authorities.
International transfers
We are based in China, and some of our service providers store data in other countries, including the United States and the European Union. By sending us an enquiry, your details will be processed in China and in those countries. We only share what each provider needs to do its job.
How long we keep it
- Enquiries and quotes: for as long as we need them to answer you and follow up, and while we do business together
- Orders, invoices and shipping records: for as long as tax, customs and accounting rules require
- Copies of website emails in our site’s email log, and server access logs: for a short period, then deleted automatically
You can ask us to delete your details earlier — see “Your rights” below.
